The Position
The Construction Administration Manager is responsible for supervising a wide range of construction administration efforts for landscape architecture projects. Serves as the primary client contact on projects during construction. Coordinates with the project team, outside consultants, Inspector and Owner to ensure construction issues are resolved and communication is clear and timely. This position also provides guidance and support to the Gates design team and provides construction-related input during the development of design concepts and documents. This position is non-exempt and paid hourly.
Primary Responsibilities
• Lead the design team in resolving construction issues in a collaborative and well-documented manner.
• Support the implementation of multiple project specifications, drawing releases, and design changes.
• Execute downstream contract administration, including Request for Information (RFI’s), submittals, meeting minutes, change management, and claims mitigation.
• Support project cost reporting, scheduling, work breakdown structures, project set up and closeout, and field progress tracking processes.
• Coordinate with Inspector of Record and DSA Field Engineer to make sure all required documentation is in place.
• Provide project-based construction remedies to design teams and firm to correct and refine projects during the design process.
• Provide construction-related review and input during development of design concepts and document.
• Review and implement the project documentation and filing systems and processes.
• Facilitate the project turnover documentation, record keeping/retention, warranty and project close out processes.
These responsibilities are typical but are not all-encompassing. Each person is expected to work collaboratively as a team and to perform the duties required to deliver a quality product on schedule, within the project budget and the budgeted hours provided.
Qualification and Skillset
• Minimum of 5 years of experience performing similar duties.
• Knowledge of DSA Construction procedures and requirements preferred.
• Well versed in standard construction procedures and terminology.
• Comfortable reading and understanding construction drawings.
• Excellent, organization, prioritization, problem-solving, budgeting, and multi-tasking skills.
• Proficient in Microsoft Office applications, including Word, Excel and Outlook.
• Experience working with AutoCAD, BLUEBEAM, Procore or a similar database program, is preferred.
• Strong leadership and management skills.
• Excellent written and verbal communication skills.
• Experience working collaboratively as part of a team.
• Willingness to learn and adapts easily to new procedures and practices.
• Ability to handle and constructively resolve problems and conflicts in a fast-paced and demanding construction environment.

The Position
Gates is growing and looking to add a Project Manager to our Walnut Creek office! We are actively looking for a landscape architect with 4-8 years of practical experience to join our visionary, collaborative & inclusive team at Gates + Associates. The Project Manager will support Senior Associates with a variety of different responsibilities including day-to-day project operations and management, business development and marketing, and mentorship of junior staff. An ideal candidate works at an advanced level of a licensed professional employee in this field. They are able to demonstrate knowledge of standard tools and methodology in project documentation and management. They shall manage team members in support of or in the absence of a Senior Associate and are accountable for meeting deadlines and expectations set by a Senior Associate. The Project Manager will also support Senior Associates with client interactions & management, and may participate in project interviews, project presentations and networking events.
Primary Responsibilities
- Supports Senior Associate in proposal and contract preparation.
- Backup interaction with clients for Team Projects in absence of Senior Associate.
- Primary contact for several team projects.
- Targets 80% billable with exceptions being specialized participation in approved organizations, contract writing, team meetings, office meetings, training and Office projects.
- Successfully participate in Interview if requested by the Marketing Department
Mentoring/Team Operations
- Trains Landscape Designers and Junior Landscape Designers in Gates standards and protocols.
- Advises Senior Associate on skills and deficiencies of Team and assists to find improvements.
- Begins to cultivate mentorship of team members.
- Participates in collaborative design of team projects.
Project Management
- Demonstrates a minimum of 3 successful projects in design, marketability, graphic communication and buildability.
- Assists team project close outs.
- Assists team in field/site visits.
- Assists in review of all team projects costs, budgets and billings.
- Assist team in finial inspections.
- Monitors and reviews milestones and schedules of projects and team members.
- Monitors adherence of all team projects with Gates Project Life Cylce.
Requirements
- Bachelors or Master’s from an accredited institution.
- 4-8+ years of practical experience with demonstrated success in related projects and project management. Job Captains shall engage in education for specialization and expertise.
- Professional registration in the Landscape Architect’s discipline is encouraged for this position.
- Strong professional ethics, leadership skills, accountability, and decision-making capabilities.
- Proficient in MS Excel, Word, Adobe Creative Suite, AutoCAD, or similar products.
